Draft Shipments: Review Before You Charge, Track After You Ship
By Alexa Fangman

You can catch a missing suite number or incorrect package weight before paying for a shipping label. Shippy by Dijy, the native HubSpot shipping label app, gives your team that checkpoint through draft shipments.
The result is a clearer handoff from preparing a package to following its delivery. Your team can review the information that matters before spending postage, then see what happens after the package leaves.
Review Shipment Details Before Paying for Postage
Every shipment in Shippy starts as a draft. A draft shipment saves your progress, including address, parcel, and carrier details as you enter them, without purchasing postage or generating a label. You can close the shipment generator and return later.
For drafts held for human review, nothing leaves your postage balance until someone approves the draft and purchases the shipment. Review the recipient, package measurements, weight, and selected service before finalizing.
That review step is a choice in your automation setup. Create Draft Shipment holds the shipment for approval. The separate Create Shipment workflow action can purchase postage automatically, without waiting for manual review.
Create Drafts Three Ways
Shippy supports manual, workflow, and packing slip barcode paths to draft creation. Choose the starting point that fits how your team receives shipping requests.
Manually from a record: Click Create Shipment on a HubSpot record where the Shippy card is enabled. Your progress saves as you move through the shipment generator, even if you leave before entering all package details or selecting a rate.
Through a workflow: Create Draft Shipment is available on all Shippy plans and requires HubSpot workflow access. Configure the carrier service, preset package, sender address, and recipient details in the workflow action. Records passing through the action create drafts with no label and no postage charge.
By scanning a barcode: Power Shipper and Mega Shipper support drafts from packing slip barcodes. Generate a slip on the relevant deal with shipping data included, then scan it in Shippy Settings under Barcode Import. Shippy fills the sender address, recipient address, and package details for review.
Find, Resume, and Remove Draft Shipments
You can resume a draft from the Shippy card on the record where you started it. Open that HubSpot record, locate the card in the right-hand sidebar, and click the draft to continue.
Find pending drafts on the Shippy | View Shipments card or in Shippy Settings under Shipments. Drafts stay available until they're purchased or deleted, so you can review them when your team is ready.
Remove an outdated draft by hovering over it on the View Shipments card and choosing Delete. In Settings, use Delete in the shipment's Actions column. For several drafts, select the affected rows, open Bulk Actions, and choose Delete Shipments. Check your selection before clearing the queue.
Choose Human Review or Direct Charging
Use a draft review step when the shipment needs a person's judgment before postage is purchased. High-value orders deserve a check of the destination, carrier service, and package details. Inconsistent address data also calls for review, especially when suite numbers or postal codes are missing.
Drafts also support end-of-day batching. Prepare shipments throughout the day, then review the queue together before purchasing labels. For new teammates, drafts provide a way to practice entering details while keeping label purchases under review.
Direct charging through Create Shipment suits clean, reliable data and a tested shipping process. High-volume teams using standard packages and verified addresses can automate label purchases instead of reviewing every shipment. Start with the process your data can support, then adjust as your team gains confidence.
Catch Errors Before They Become Adjustment Fees
Checking draft details helps prevent avoidable carrier adjustment fees. Label charges use the address, dimensions, and weight you provide. Carriers check packages as they move through their facilities and can apply adjustments when the physical parcel doesn't match.
Measure the packed box, weigh it, and confirm that your selected preset matches what you're sending. Check the full recipient address, too. Correct those details before purchasing the label, while the package is still in your hands.
Review reduces the risk of preventable charges; it doesn't remove every possible carrier adjustment. Keep your HubSpot address data and package presets accurate even when using direct shipment creation.
Follow Shipments Through the Orders Pipeline
After label generation, each shipment is logged as an individual Order record associated with its source record. The Shippy Orders pipeline reflects shipment progress through six stages:
- Label Ready: The label is ready for the shipment.
- In Transit: The package is moving through the carrier network.
- Out for Delivery: The package is on its delivery route.
- Delivered: The carrier reports delivery.
- Available for Pickup: The package is ready for collection.
- Error: The shipment needs attention.
These stages give your team a shared view inside HubSpot. Label Ready isn't the same as In Transit, so check progress before telling a customer their package is moving.
Understand Tracking Statuses on Your Records
Shippy also writes tracking information to record properties, separate from the Orders pipeline. Recent Shippy Tracking Status includes Pre-Transit, In Transit, Out for Delivery, Delivered, Available for Pickup, Return to Sender, and Error.
Pre-Transit and Return to Sender are tracking statuses, not additional stages in the six-stage pipeline. Status Detail provides more context from the carrier. Use the appropriate field when reviewing a shipment or building an order-based workflow to alert your team to a status change.
Refund an Unused Label Before the Carrier Scan
You can refund and void a purchased shipment only before the carrier scans it. Open Shippy Settings, go to Shipments, and select Void/Refund for the shipment. Refunded postage returns to your postage balance, and the shipment is voided.
Once the carrier has scanned the label, the shipment can't be voided or refunded through this option. Review before purchasing whenever possible, and act before that scan if an unused label needs correcting.
Build a More Confident Shipping Routine With Shippy
Drafts give your team time to check the details before buying postage. Tracking gives you visibility afterward. Use review where it adds value, and direct charging where reliable data supports automation.
