Shippy Reporting: See Every Shipment at a Glance
By Alexa Fangman
In this article:
You can see which shipments are pending, which have arrived, and which need attention without exporting a spreadsheet. Shippy by Dijy brings shipment data into HubSpot, so the people managing fulfillment and customer relationships can work from the same information.
That gives your HubSpot admin a reporting foundation, your ops manager a view of daily activity, and your revenue leaders visibility beyond the sale. With a dedicated dashboard, you can answer shipping questions without asking someone to piece together another update.
See Shipment Progress Inside HubSpot
Shippy by Dijy writes live shipment information to HubSpot properties. Recent Shippy Tracking Status includes Pre-Transit, In Transit, Out for Delivery, Delivered, Available for Pickup, Return to Sender, and Error.
Recent Shippy Tracking Status Detail adds context such as Label Created, Departed Facility, Arrived at Destination, or Delayed. Recent Shippy Tracking Number and Recent Shippy Package Name help identify the shipment you're reviewing.
Each shipment also becomes an individual Order record associated with its source record. The Shippy pipeline reflects shipping progress through Label Ready, In Transit, Out for Delivery, Delivered, Available for Pickup, and Error. Tracking statuses and pipeline stages are related, but they're separate fields. Choose the right one for each report.
Build a Dedicated Shippy Dashboard
A dedicated Shippy dashboard puts your shipping reports together in HubSpot. Confirm your reporting permissions with a Super Admin, create a dashboard from scratch, and name it something your team will recognize, such as “Shippy: Shipment Status Updates.”
Choose who should have access, then add reports using Orders as the primary data source. The examples in our reporting guide use HubSpot's Custom Report Builder. If your subscription doesn't include it, create variations through the single-object report builder, using the chart types available to you.
Keep the scope clear. Use the Shippy pipeline to focus on shipping orders, and check date filters before saving. An “All Time” title should match an all-time reporting window, not a hidden monthly default.
Pending Shipments: All Time
This gauge shows the number of Shippy orders in your defined pending group. Filter Pipeline to Shippy, then exclude the stages Error, Delivered, and Available for Pickup. Use Count of Orders as the gauge's value.
Set the gauge maximum and color bands to fit your team's operating volume. This is a focused pending count, not a count of every undelivered package. Errors sit outside this definition and get their own report below.
Pending Shipments per Stage
This bar chart breaks the same pending count into pipeline stages. Clone Pending Shipments: All Time, keep its filters, and change the visualization to a vertical bar chart. Put Stage on the horizontal axis and Count of Orders on the vertical axis.
Now your team can distinguish labels that are ready from packages in transit or out for delivery. Use the chart to decide where to investigate, then open the relevant records for tracking detail. A stage count alone doesn't explain why a package hasn't moved.
Shippy Orders: Last 7 Days
This table shows recently created shipping orders. Filter Recent Shippy Tracking Status to “is known” and Created Date to “Last 7 Days.” Include the order identifier, Created Date, tracking number, and tracking status.
Sort Created Date from newest to oldest so recent activity is easy to scan. Remember that this is an order-creation window, not proof that every listed package entered the carrier's network during the week. Check the tracking status before describing an order as shipped.
Orders Delivered: All Time
This table lists orders whose Recent Shippy Tracking Status is Delivered. Clone the seven-day table, change the status filter to Delivered, and remove the seven-day restriction. Keep the order identifier, tracking number, and status visible.
You can include Last Modified Date as a reference, but keep its meaning intact. It records the latest change to the order, not a guaranteed delivery timestamp. Later edits can change it, so don't relabel it “Delivery Date.”
Orders with Errors
This KPI report counts orders that need exception review. Use the documented tracking status filter for Failure, Cancelled, or Error, then select a KPI visualization with Count of Orders as the value, grouped by tracking status.
The number tells your team where to focus next. Review each affected order's status detail rather than assuming every exception has the same cause. Clear data starts with the information entered when creating a shipment, and useful follow-up starts with checking the actual record.
Make Shipping Visibility Part of Your Routine
Weekly dashboard emails bring shipment reporting into your team's regular review. Schedule them for your internal HubSpot users and favorite the dashboard with the star beside its name so it's easy to find again.
Live shipment updates and report refreshes run on different schedules. Default analytics reports generally refresh about every 40 minutes; custom-builder reports refresh about every two hours. Refresh manually when needed, subject to HubSpot's refresh limits, rather than assuming every chart changes with each carrier update.
For operational alerts, use order-based tracking workflows. Notify the team when a status changes to Error, or alert an account owner when a sample is Delivered. The dashboard supports review; the workflow brings a specific change to someone's attention.
Review Shipping Activity and Billing Separately
Shippy Settings provides the documented shipment and billing views. The Shipments tab contains shipment history, search and date-range filtering, and a merged PDF option for bulk label printing. That PDF is for labels, not a cost-analysis export.
The Billing tab shows your wallet balance, subscription usage, and billing history. Carrier adjustment fees also appear in billing history once processed. Use these billing records for charge visibility without assuming shipment cost is a HubSpot report property.
Put Your Shipping Data to Work With Shippy
Shippy gives your team shipment information it can use inside HubSpot. Start with the five reports above, agree on what each count means, and make shipping visibility part of your regular operations review.
